Transcript Evaluations

When transcripts are initially received, from currently-enrolled students, they are reviewed to determine the number of units that will be accepted and applied toward degree and certificate goals, and will also be incorporated into the overall Grade Point Average.

A course-by-course evaluation to award course equivalencies, and to determine the fulfillment of degree and/or certificate requirements, must be initiated by the Counseling Office.

Plan Ahead

Students must submit all official transcripts from all outside institutions prior to requesting a transcript evaluation. Please allow 8 to 10 weeks for your official transcript evaluation to be processed.

If you are requesting your transcripts to be evaluated prior to the start of a semester please submit your evaluation request 8 to 10 weeks prior to the first day of registration for that semester.

What is Evaluated?

Cuyamaca College provides students who have completed coursework at outside institutions with an official evaluation of how this coursework applies to:

  • Associate degrees and certificates at Cuyamaca College.
  • CSU GE Certification for students transferring to a California State University campus
  • IGETC Certification for students transferring to a University of California campus or a California State University Campus

How to Request Further Transcript Evaluation

Follow the following steps to request a course-by-course evaluation of your transcripts.

Please allow 8 to 10 weeks for your official transcript evaluation to be processed. To have your transcript evaluated you must:

  1. Be currently enrolled at Cuyamaca College.
  2. Send official transcripts from all previously attended institutions to the Admissions and Records office. (Students who have taken coursework at Grossmont College do not need to send official transcripts to the Admissions and Records office.) Click to find information on foreign transcripts and regional accreditation.
  3. Submit your request for a transcript evaluation via email to cuyamaca.admissions@gcccd.edu
  4. If you have taken courses at independent or out-of-state colleges or universities, you may be asked to provide additional information such as a course description or a course syllabus.

How will I receive my results?

Because of the complexity of the service and the high volume of requests, it could take up to 6 weeks to receive results. If the transcript evaluators need you to provide additional information, the evaluation process could take longer.

You will be notified by Admissions and Records when your transcript evaluation is complete. At that time you may schedule an appointment with your counselor to go over your evaluation.

Clearing Prerequisites

If you need to clear a prerequisite for a class that is not English, Math, or ESL, you will need to submit the Prerequisite Clearance/Challenge Form. English, Math, and ESL clearances are evaluated through the Placement questionnaire, available in the Self Service portal.

Foreign Transcripts

If your transcripts were issued in a foreign country from a non-American institution, or if they are in a language other than English, they require special handling.
